Documentation
Everything you need to install the app, connect HubSpot and send your first quote.
Requirements
- A HubSpot account with Sales Hub and permission to install apps (Super admin).
- Deals you want to quote from. Line items and products are optional but supported.
Setting up
- 1
Install the app
Install from the HubSpot App Marketplace, or open the install link directly. HubSpot asks you to approve the permissions the app needs.
- 2
Create your workspace
Sign in or create an account, then name your company and set your currency, VAT rate and quote-number prefix. These become the defaults on every quote and you can change them later under Settings.
- 3
Approve the HubSpot connection
After the workspace exists you are sent back to HubSpot to approve the connection. Once it succeeds, Settings shows the connected portal.
- 4
Design a template
Under Templates, drag blocks onto the live document: cover, rich text, images, the line item table, totals, terms and the signature block. Use merge fields such as
{{contact.firstname}}to personalise the text. Upload your logo and set the accent colour under Settings. - 5
Send your first quote
Open a deal in HubSpot and use the “Quotes & e-sign” card, or create the quote from the app and link the deal. Line items, contact and company prefill from the deal. Add signers, then send — each signer receives their own private signing link.
Working from the deal record
The app card on the deal lists every quote for that deal with its status, and opens the full editor in a window inside HubSpot — including the live document preview, the product library and your HubSpot line-item properties as extra table columns.
Saving a quote that is linked to a deal replaces that deal’s line items with the quote’s, so the deal always reflects what the customer was actually offered.
Signing and the sealed document
Signers open a private link, review the quote, accept any terms you marked as requiring acceptance, and sign. When the last signer signs, the app produces a sealed PDF containing the quote, any attached terms documents, and a certificate page with the audit trail: who viewed and signed, when, and from which IP address. The signed PDF and the status are written back to the HubSpot deal.
Payments (optional)
Connect Mollie under Settings to add a payment step. When a quote with a payment step is signed, the signer is offered a payment link for the full amount or a deposit percentage, and the payment status is tracked on the quote.
Uninstalling
Disconnect HubSpot under Settings, or uninstall the app from HubSpot. Disconnecting stops all syncing and removes the stored access tokens. To delete your data entirely, see the privacy policy.
